Gaba Travel Ltd. Media Consent Policy

1. Introduction

This Media Consent Policy outlines how Gaba Travel Ltd., including its DBAs Indian Destination Weddings and Indian Destination Weddings by Gaba Travel, captures, uses, and manages photographs and video recordings taken at destination weddings, vow renewals, anniversary celebrations, and similar events arranged through our services.

By attending an event arranged by Gaba Travel, you agree to comply with this Media Consent Policy as well as our Terms of Service, Privacy Policy, and Group Travel Policy (where applicable). If you do not accept this policy, please contact us before attending the event.

This policy is intended to provide transparency regarding how media content is captured and used at our events. Please review it carefully to understand your rights and how to exercise them.

2. Scope of This Policy

This policy applies to all guests, including the couple, wedding party, family members, and other attendees at:

• Destination weddings arranged through Gaba Travel or Indian Destination Weddings by Gaba Travel
• Vow renewals and anniversary celebration packages
• Related pre- and post-wedding events such as welcome dinners, excursions, or farewell gatherings

Gaba Travel does not typically engage in photography or videography at other group travel events such as tours or corporate bookings. Where it does occur in exceptional circumstances, this policy applies equally.

3. Who May Capture Content

Photography and videography at events may be carried out by or on behalf of:

• Gaba Travel staff or representatives
• The resort or venue at which the event is held
• The couple’s contracted wedding planner
• Vendors directly engaged for the wedding, such as photographers, videographers, florists, and caterers

No other third party is authorized under this policy to capture content on behalf of Gaba Travel. Gaba Travel is not responsible for the independent use of images or recordings by any of the above parties outside of their direct engagement with the event.

4. How We Use Content

Images and recordings captured at events may be used by Gaba Travel and its authorized parties for promotional, marketing, and advertising purposes, including:

• Gaba Travel’s website and the Indian Destination Weddings website
• Social media platforms including Instagram, TikTok, Facebook, YouTube, and Vimeo
• Printed and digital marketing materials, brochures, and advertisements
• Press releases and media features

Content may be used worldwide, in perpetuity, without compensation to those who appear in it. By attending an event, guests waive any right to compensation or benefit arising from any such use.

5. Children and Minors

Gaba Travel takes the privacy of minors seriously. Identifiable images of minor children will not be used for promotional or public-facing purposes unless a parent or legal guardian has provided consent.

Parents and legal guardians of minor children attending an event are responsible for notifying Gaba Travel if they do not consent to their child appearing in published content. Please refer to Section 6 for opt-out instructions.

Where Gaba Travel is made aware that a child’s appearance in content has not been consented to, we will make reasonable efforts to avoid or obscure that child in any future use.

6. How to Opt Out

Guests who do not wish to appear in published materials may submit an opt-out request as follows:

Deadline:  Opt-out requests must be received no later than seven (7) days before the first scheduled event of the wedding or celebration.

Subject line:  Media Opt-Out – [Event Name / Couple’s Names]

Include:  Your full name, your relationship to the event (e.g., guest, family member), and if opting out on behalf of a minor child, the child’s name.

An opt-out request covers all events and activities associated with the wedding or celebration — it does not need to be submitted on an event-by-event basis. Requests submitted after the seven-day deadline cannot be guaranteed.

Gaba Travel will make reasonable efforts to honour timely opt-out requests for future publications. We are not obligated to remove or retract images or recordings that have already been published or distributed prior to receiving an opt-out request.

7. Featured or Close-Up Content

For content that prominently or exclusively features an individual — such as a close-up portrait, a personal interview, or content clearly focused on a single guest rather than the event generally — Gaba Travel may seek a separate written release from that individual before publishing. This is in addition to, not instead of, the general consent described in this policy.

8. Content Already Published

This policy governs content captured at events going forward. Where Gaba Travel has previously published content from past events, guests may contact us at info@gabatravel.com to discuss specific concerns. We will review requests on a case-by-case basis, but removal of already-published content is not guaranteed.

9. Relationship to Your Planning Contract

If you are the couple who has entered into a Destination Wedding Planning Contract with Gaba Travel, the media consent terms in your contract (Section 13) govern the rights and obligations between Gaba Travel and you as the contracting parties. This policy is a public-facing summary intended for guests and does not replace or supersede your contract.
